These Terms & Conditions apply to all bookings and services provided by Picture Perfect Photobooths (“Picture Perfect,” “we,” “us,” or “our”). By submitting a booking, making a payment, or otherwise confirming services with Picture Perfect, the client acknowledges and agrees to the following terms.
Also see: Privacy Policy
1. Bookings & Availability
All bookings are subject to availability. Submission of an inquiry or booking request does not automatically guarantee the requested date or time.
A booking is considered confirmed only after the required deposit or payment has been received and confirmation has been issued by Picture Perfect.
Clients are responsible for ensuring that all information submitted during booking, including the event date, location, start time, contact information and selected package, is accurate.
2. Deposits & Payments
A deposit may be required to secure an event date. The applicable deposit amount and remaining balance will be communicated during the booking process.
The remaining balance must be paid by the due date stated on the client’s invoice or booking confirmation.
Failure to make the required payment by the applicable deadline may result in the booking being cancelled and the date being released.
3. Cancellations
All cancellation requests must be submitted to Picture Perfect in writing.
Deposits used to secure an event date are non-refundable, as the date and service time have been reserved specifically for the client.
Any additional amounts paid may be subject to the cancellation terms communicated at the time of booking.
Picture Perfect reserves the right to consider exceptional circumstances on a case-by-case basis. Any accommodation offered does not change the general cancellation policy.
4. Rescheduling
Requests to change an event date are subject to availability and must be approved by Picture Perfect.
Payments already made may be transferred to a new date at Picture Perfect’s discretion. Additional charges may apply where the change affects staffing, transportation, equipment, package pricing or other event requirements.
A new date is not confirmed until written confirmation is provided by Picture Perfect.
5. Event Time & Service Hours
Photo booth service will operate for the number of hours included in the package selected by the client.
Setup and breakdown time are separate from the client’s booked operating hours.
The client is responsible for providing accurate event start and service times before the event.
If an event begins late for reasons outside Picture Perfect’s control, the original scheduled end time may still apply.
Requests for additional service time are subject to staff and equipment availability and may result in additional charges.
6. Venue & Setup Requirements
The client is responsible for ensuring that the venue permits photo booth equipment and provides adequate space for safe operation.
Picture Perfect requires reasonable access to the event location for delivery, setup and breakdown.
The client must ensure access to a suitable and reliable electrical power source where required.
Any special venue restrictions, loading requirements, stairs, limited access, parking requirements or other conditions that could affect setup must be communicated before the event.
Additional fees may apply where unusual access or setup requirements result in additional labor, transportation or equipment needs.
7. Outdoor Events
For outdoor events, the client is responsible for providing a safe, level and appropriately covered area for the photo booth and associated equipment.
Picture Perfect may suspend, relocate or discontinue operation if weather or environmental conditions create a risk to guests, employees or equipment.
This may include rain, excessive wind, flooding, unstable surfaces or other unsafe conditions.
Picture Perfect will not be responsible for service interruptions caused by weather or unsuitable conditions outside of our control.
8. Backdrops
Backdrop availability is subject to the client’s selected package and current inventory.
Specific backdrops are not guaranteed unless confirmed by Picture Perfect before the event.
Clients and guests must not move, climb on, lean against or otherwise interfere with backdrop structures or photo booth equipment.
The client may be held responsible for damage resulting from misuse or negligence by the client or their guests.
9. Custom Photo Designs
Where included, Picture Perfect will create a customized photo design based on information provided by the client.
The client is responsible for supplying accurate names, dates, logos, colors, wording and other requested design information.
Clients should review artwork carefully before approval. Once a design has been approved, Picture Perfect is not responsible for errors that were present in the approved artwork.
Significant changes requested after approval may be subject to additional charges.
10. Prints & Digital Images
Print size and availability are based on the package selected.
Picture Perfect makes reasonable efforts to produce high-quality photographs and prints. Minor differences in color, cropping, lighting or print appearance may occur.
Where an online gallery is included, the client will receive access after the event once the images have been processed and uploaded.
Clients are encouraged to download and securely store their images after receiving gallery access. Picture Perfect does not guarantee indefinite storage of event galleries or digital files.
11. Social & Digital Sharing
Where digital or social sharing is available, functionality may depend on internet or mobile connectivity at the event venue.
Picture Perfect cannot guarantee immediate digital delivery where internet connectivity is unavailable, unreliable or restricted by the venue.
Temporary loss of connectivity does not constitute failure to provide the photo booth service where photography and other applicable services remain operational.
12. Equipment & Technical Issues
Picture Perfect takes reasonable measures to maintain and test its equipment before events.
However, technology can occasionally experience unexpected technical issues.
If equipment failure occurs, our team will make reasonable efforts to restore service as quickly as possible.
Where a significant technical issue caused solely by Picture Perfect prevents us from delivering a substantial portion of the booked service, Picture Perfect may provide an appropriate remedy based on the circumstances and the portion of service affected.
13. Client & Guest Conduct
Clients are responsible for the behavior of their guests while using the photo booth.
Picture Perfect reserves the right to temporarily suspend or terminate service where guests engage in abusive, threatening, dangerous or destructive behavior toward our employees, equipment or other guests.
Guests must follow reasonable instructions provided by Picture Perfect staff regarding safe use of the booth and equipment.
14. Damage to Equipment
The client may be responsible for repair or replacement costs where Picture Perfect equipment, backdrops, props or other property are intentionally damaged or damaged through negligence by the client or their guests.
Normal wear and tear is excluded.
15. Props
Where props are provided, they remain the property of Picture Perfect.
Props must be used appropriately and returned after use. Clients may be responsible for significant loss or intentional damage to Picture Perfect property.
Specific props shown in promotional material are subject to availability and are not guaranteed for every event.
16. Photography & Promotional Use
Picture Perfect may capture photographs or video showing the photo booth setup or event experience for portfolio, website and social media purposes.
For private events, client or guest images will not be used for promotional purposes where the client has requested privacy in advance.
17. Third-Party Venues & Vendors
Picture Perfect is not responsible for the actions, restrictions, delays or failures of venues or other third-party vendors.
The client is responsible for communicating any venue requirements that could affect our services.
18. Force Majeure
Picture Perfect will not be responsible for failure or delay caused by circumstances reasonably outside our control, including severe weather, hurricanes, flooding, government restrictions, power outages, civil emergencies, venue closures or other extraordinary events.
Where possible, Picture Perfect will work with the client to determine a reasonable alternative, including rescheduling where appropriate and available.
19. Limitation of Liability
To the extent permitted by applicable law, Picture Perfect’s liability arising from a booking or event shall not exceed the amount actually paid by the client to Picture Perfect for the affected service.
Picture Perfect is not responsible for indirect or consequential losses arising from circumstances outside our reasonable control.
20. Package & Pricing Changes
Package features, pricing, equipment and available options may change from time to time.
Once a client’s booking has been confirmed, the package and price stated in that booking confirmation will apply unless the client subsequently requests and approves changes.
21. Agreement to Terms
By submitting payment and confirming a booking, the client acknowledges that they have reviewed and agreed to these Terms & Conditions.
